When Årjäng Municipality started using Bsure, IT Strategist Agnetha Persson finally gained up-to-date visibility into the municipality’s Microsoft environment. What once took a week of manual work now takes a single day, with better security, lower costs and clearer accountability across the organisation.

From manual lists to up-to-date insight

Årjäng Municipality, located in western Värmland, has about 9,800 residents and around 1,200 employees. As IT Strategist, Agnetha Persson is responsible for the municipality’s entire IT environment, covering everything from user accounts and licenses to security and compliance.

The municipality has outsourced operations, network and support to an external provider, but still owns all computers, servers and licenses. This makes Agnetha’s role both broad and central to how IT is managed.

“I am the one who works with IT at Årjäng Municipality,” she says with a smile.

The IT environment includes administrative staff as well as teachers and students with Education licenses. This means thousands of accounts that must remain accurate and up to date. Previously, that work was slow and manual.

Twice a year, in March and September, the municipality carried out license audits as part of its internal control plan.

“March and September were not fun months. There was no easy way to see who was active. I had to go through lists and check every user manually.”

A simpler way to stay in control

When Årjäng Municipality saw Bsure in action, Agnetha immediately recognised the value. The solution provided instant access to information that previously required hours of manual work. Soon after implementation, she identified and removed more than 130 inactive accounts, giving both cost savings and a higher level of security.

“I could see right away that the system was great. It was exactly what I needed. I no longer have to sit with Excel and manual checks.”

Today, the municipality uses Bsure to keep licenses updated, monitor user activity and ensure routines are followed. The insights have strengthened the dialogue with department managers and increased awareness of license ownership and costs.

The municipality also uses Bsure to establish accountability. When reports are generated, they are shared with each department head, who confirms whether the listed employees are still active. This makes it easier to keep user information accurate and maintain cost awareness across the organisation.

From one week to one day

What previously took a week can now be completed in a single day. The process is also more reliable, since the data comes directly from the Microsoft environment and is continuously updated.

Information security has improved as well. Bsure makes it easy to identify users who lack multi-factor authentication and helps Agnetha verify that accounts are removed when employees leave. She explains that she can now clearly confirm that accounts are deleted as they should be.

Bsure also works as a control tool toward the municipality’s IT provider. When accounts are marked for removal, Agnetha sends the list to the provider, who carries out the task. She can then verify in Bsure that the accounts have been deleted. This gives reassurance that routines are followed and that the municipality is not paying for unused licenses.

A solution that frees up time

For someone who is responsible for all IT services, availability and simplicity are essential. Bsure is accessed directly through Microsoft 365 without extra logins, and support is always easy to reach.

She appreciates being able to ask questions directly instead of reading long manuals, and says this makes learning the system much easier.

Bsure has given Årjäng Municipality better control and more time for development work. She no longer needs to work in Excel and gets the information she needs instantly so she can take action right away.

Expanding the use of Bsure

After first focusing on users and licenses, Årjäng Municipality is now exploring more of what Bsure offers. During the autumn, Agnetha began using the security views to monitor MFA compliance. She also plans to work more actively with device and application data going forward.

She describes Bsure as an easy way to access information quickly and act on it. By gradually expanding how the system is used, the municipality gains a more complete and continuously updated view of its Microsoft environment. This includes insight into licenses, users, security and hardware.

Next steps

Årjäng Municipality plans to continue improving its license management with Bsure. One of the next goals is to analyse how often desktop versions of Office are used, so that license types match actual needs. She notes that this type of insight would help her identify where different departments can reduce costs.
